If you frequently send the same response to clients, customers, or colleagues, you must, must, must utilize Quick Parts.
(And note that Quick Parts is a feature only available on the PC platform. If you're using a Mac, you'll have to use a TextEdit or spreadsheet workaround.)
Just type the fragment you wish to add to the email, first highlight it in the body of your email and then:
1. From the Insert tab, choose the Text grouping, then click the Quick Parts drop-down.
2. Click Save Selection to Quick Part Gallery.
3. The Create New Building Block dialog box opens. Name the Quick Part and choose OK.
Now, anytime you want to use a Quick Part, just return to the Quick Parts Gallery from the New Email window and add that specific building block to any of your emails.
